Branch Manager Duties

A Branch Manager is the designated person within the CFA organization that is responsible for a particular Chapman line or branch, beginning with the earliest ancestor that has been identified to date.

1- Maintain files as current, complete and correct as possible. This includes a computer genealogy file in some program such as Brother’s Keeper, Family Tree Maker, PAF, etc. Hard copy source or reference data received from members and other’s interested in Chapman genealogy should be kept in some orderly fashion, 3-ring binders, files, etc.

2- Establish personal contact with all CFA members who are members of the applicable branch and maintain some rapport with them regarding CFA and Chapman family history-particularly their Chapman branch. Encourage their participation in as many CFA activities as possible. Working through them, attempt to contact other applicable Chapman descendants and even recruit more CFA members.

3- With the help of branch members search for additional information in the census, county records, Internet, etc. to add to what is already on hand for descendants of the progenitor of the applicable branches.

4- When CFA receives an inquiry about an “unknown” Chapman each branch manager will do whatever is necessary to determine if the unknown belongs to his branch and when he does take the lead for CFA in dealing with the inquirer.

5- Using information received in inquiries or received otherwise, the branch manager will prepare material for publication in the quarterly about Chapman’s from their branch.

6- Information about branch activity should be sent to all branch members in any one or more of the following: letters, email, phone calls. Announcements in the Online Newsletter, CFA Party line or the CFA quarterly. When the information might be of interest or use of other branches info copies should be sent to other branch managers.

7- Finally, all of the correspondence that is being sent to branch managers should be retained until there is a policy decision from CFA regarding document retention and disposal.
